Follow-up sequences for HubSpot lists

Send a series of WhatsApp templates, days apart, to everyone on a HubSpot list — and stop automatically when they book or reply.

A sequence is a drip campaign. Everyone who joins a HubSpot list gets message 1, then message 2 some days later, and so on, until they leave the list or reply.

Create a sequence

  1. Go to Automations → Sequences and click New.
  2. Name it, e.g. Demo nurture.
  3. Pick the HubSpot list. People are enrolled when they appear on it.
  4. Set the Time zone of the people you are messaging and the Send time (a whole hour, 0–23). Messages go out at that hour in that time zone.
  5. Turn on Working days only (Mon–Fri) to skip weekends.
  6. Turn on Stop when they reply to end the sequence for anyone who writes back.
  7. Add messages (up to 20). For each, pick an approved template and the wait in days after the previous message (up to 60 days).
  8. Use the test to see what someone joining now would get — nothing is sent during the test.
  9. Activate and save.

How it runs

Every 10 minutes Vatli:

  1. reads the HubSpot list as it is now;
  2. enrolls anyone new at message 1;
  3. ends the sequence for anyone who left the list (for example because they booked), or replied if Stop when they reply is on;
  4. sends each person the message they’re due;
  5. schedules their next message.

Each send goes through the broadcast queue, so opt-outs, the marketing frequency rule, your monthly allowance and delivery reporting all apply. Results are grouped on the Broadcasts page — see Automated broadcasts.

A due message that can’t be sent is retried up to 3 times. The last error is shown on the sequence.

Use HubSpot active (dynamic) lists, for example “Demo requested — not booked”. When someone books, HubSpot removes them from the list and the sequence stops for them by itself.
